Roles & Responsibilities:

The successful applicant will be expected to work with the Deputy Director (Resource Management) for the administration of the grant calls as part of a “Grantor role” which include, but are not limited to:

• Grant issuance including preparing for roadshows (logistics set up, preparing roadshow slides etc.), sending out emails to announce the grant call, ensuring all relevant documents such as grant info sheet, application form etc. are in place.
• Administering to the evaluation of grant proposals including issuance of appointment letters to the evaluation panel members, setting up evaluation meetings and ensuring timely renewal of memberships.
• Post grant call closure matters such as performing completeness checks, collating all complete applications, organizing proposal review meetings, compiling evaluation scores, preparation of meeting agenda, slides and recording of minutes, grant outcome announcement, preparation of Letters of Award, reporting templates, budget schedules etc.
• Perform the role of “Officer-in-charge” for the Grant(s): Verify and monitor claims for grant expenses for the Grant. Track the progress of the SRIS Grant to ensure timely submission of fund requests, progress and final reports. Check and process post-award grant variations and/ or budget virements. Track number of grant applications vs projects awarded for each grant call; manage funds disbursed/ utilisation to ensure sufficient budget according to approved budget utilization timeline. Put in place SOPs for the SRIS Grant pre and post award functions, including but not limited to setting grant criteria, putting up relevant documents, setting up a roadshow, timeframe for call to be open, evaluation panel set up, meetings set up, LOAs, FOAs, approvals required at each stage, timeframe of the entire process etc.
• Work with colleagues and Principal Investigators (PIs) for pre-award and post award management of a full suite of Grants (from A*STAR, NRF, NMRC etc.), from the Grantee’s perspective, which include, but are not limited to: Liaising with funders and collaborating institutions on grant-related matters. Supporting PIs in grant administration and reporting, and ensure compliance with grants terms and conditions. Monitoring project progress and fund utilization. CREATE hosts interdisciplinary research centres from top global universities including other key strategic partners including CNRS, MIT, and TU Munich.

The Associate Director, Imperial Global Singapore works as part of the Imperial Global Singapore leadership team (with the Academic Director) to ensure the strategic development and operational effectiveness of the research and innovation centre in Singapore.

The post-holder will play a key role in developing Imperial Global Singapore as a regional hub for high impact partnerships covering research, education and innovation. A*STAR is spearheading a series of Strategic Research & Translational Thrusts (SRTT) that harnesses its multidisciplinary expertise to undertake a focused research mission. Operating as a cross-A*STAR initiative, SRTTs are geared at delivering impact and outcomes in specific thematic areas. Led by the A*STAR Research Office (RO), SRTTs will be actively managed where the SRTT Programme Directors and research team members will be provided dedicated central support. Responsibilities & Duties:

• Support the overall administration, office management and operations of SRTTs, including research admin support (e.g., support Project Investigators (PI) in grant administration and reporting, ethics review, research software support, scientific advisory panel meeting logistics, etc.)
• Provide corporate and business service support to SRTTs, working with Corporate Group (CG) and Space, Infrastructure and Admin (SpIA) Partners and Research Institute (RI) admin teams.
• Craft, review, and implement business process workflows to achieve efficiency and optimization.

Support the development of long-term space plans and utilization strategies for the entire portfolio of A*STAR"s space, considering factors such as research needs, future growth projections.

Compliance and Regulations

Conduct due diligence and advise management on whether space planning initiatives comply with building codes, regulations, and industry standards across different locations. Assist to conduct detailed assessments of multiple sites owned by A*STAR, understanding the layout, structural nuances, and potential for optimization across various locations.

Stakeholder Management & Implementation

Collaborate with facility team, and stakeholders/ users at each site to understand specific needs, align on objectives, and ensure smooth implementation of space plans.

Space Standardization

Assist in developing and implementing standardized space plans or design guidelines across multiple sites to ensure consistency in space norms and functionality while accommodating specific building requirements.

Optimization & Cost Management

Identify opportunities to optimize space, reduce inefficiencies, and improve overall space utilization across multiple properties. Balancing design improvements or renovations with cost-effectiveness, ensuring that space planning initiatives align with the budgetary considerations.

Performance Evaluation

Assist to track and evaluate the performance of implemented space plans, gathering feedback, and make adjustments to continuously improve space utilization and yet meet research needs.

REQUIREMENTS

1. Possess at least 8 years of relevant experience in either policy & planning / asset portfolio management related fields.

2. Background in Civil Engineering and experience in managing R&D space planning would be advantageous.
