Summary
Achev, in partnership with the Canadian Welding Bureau (CWB Group), and the International Brotherhood of Boilermakers will deliver the Building Strong Foundations – Try a Trade Program for Youth, a pre-apprenticeship initiative designed to introduce youth aged 18–29 in Peel and Halton (Milton) to careers in welding and related skilled trades. This program addresses Ontario’s critical skilled trades shortage by providing hands-on technical training, developing employability skills, and offering paid work placements, while promoting diversity and inclusion among underrepresented youth groups.
The Workforce Development Coordinator will manage all programming operations, including delivering excellent client service, managing staffing, engaging partners, and meeting reporting requirements, in a professional and timely manner. The incumbent will collaborate with the project team and other internal and external stakeholders to plan, implement, and evaluate strategies that deliver high-quality services and achieve the expected outcomes of the funding agreement.
Duties And Responsibilities
Operations Management:
▪ Ensure compliance with funding agreements, including the achievement of goals, objectives, and targets within the stipulated timelines and budget allocations.
▪ Prepare Independent Service Agreements applicable to project partners/vendors, as necessary
▪ Manage and foster relationships pertaining to internal and external stakeholders and participate in Funder meetings, as needed.
▪ Address project concerns in a timely manner and escalate complex issues to the Manager – Career & Loan Services.
▪ Review client feedback in accordance with Achēv’s Client Charter and provide appropriate and timely responses as necessary.
▪ Participate in one-on-one client meetings upon request and support project staff during one-on-one client meetings, as needed.
▪ Assess changing project needs and propose innovations to address them and/or develop additional services.
Staffing Management
- Manage recruitment, onboarding, supervision, professional development, and performance management of project staff.
- Prepare and submit payroll (if applicable, for Casual staff), and manage time off coverage pertaining to project staff
- Provide coaching and required support to project staff on the expected outcomes as outlined in the funding agreement.
- Plan for monthly activities with project staff, review progress, and plan for contingencies as needed.
Financial Administration And Reporting Requirements
- Review the entries in the monthly Claim(s) and Detailed Transaction Report(s) for accuracy and initiate reconciliation enquiries/requests with the respective Claims Officer in the Finance Department.
- Plan for project expenditure/purchases within the allocated budget and timeline.
- Code, sign, and submit project-related invoices, honorariums, cheque remittances, and Employee Expense Forms in a timely manner.
- Compile internal and external reporting requirements, including monthly and quarterly narrative and cash flow variance reports to be reviewed by the Manager- Career & Loan Services.
Workshops And Training
- Work with the training provider to plan and review the training schedule and ensure guest speakers are secured, if applicable.
- Ensure timely delivery of required workshops/trainings by project staff.
- Develop Assessment Forms as per funder and internal reporting requirements and analyse data and information.
- Attend all public events organised by program participants, as well as other in-person and virtual events, workshops, and orientation sessions as needed.
- Procure required resources for community events.
Outreach And Marketing
- Develop an Outreach and Marketing Plan with marketing strategies to ensure consistent program visibility and relationship development in the community.
- Implement the planned marketing strategies among high schools, universities, community partners, and at community events.
- Execute the planned marketing strategies within the project timeline and allocated budget.
- Foster new and maintain existing relationships with key community stakeholders with an eye to improving program awareness and service coordination efforts and youth networks.
- Plan and procure marketing material and swag items in conjunction with the Marketing Department and in compliance with Achēv’s Procurement Policy.
- Design and finalise content for Achēv’s social media and monitor the effectiveness/return on investment of program promotional activities.
Other
- Flex work hours during evenings and weekends to adequately support project participants outside their regular school hours.
- Assist with the delivery of supplies to participants as needed.
- Willing and able to oversee the set-up, operations, staffing management, and close-out tasks pertaining to additional projects assigned.
- Other duties as assigned.
Qualifications
- Completion of a College Diploma or University Degree
- 2 - 3 years of experience in a supervisory capacity, overseeing both program operations and staffing. Previous experience in career and employment skills development is an asset.
- Demonstrated experience in collating and analyzing data and information for compilation of narrative reports, including implementing developed budgets and managing cash flows in accordance with funder and organizational requirements.
- Demonstrated knowledge and experience in diverse social media platforms, including traditional outreach and marketing.
- Knowledge of local youth service organizations, associations and networks.
- Strong communication (written and verbal English), presentation, and interpersonal skills with the ability to collaborate, build relationships, and negotiate with internal and external stakeholders.
- Strong time management and organizational skills with demonstrated ability to multitask and prioritise effectively.
- Excellent computer skills, including experience with graphic design platforms such as Canva, webinar software, including MS Office, Outlook, and other virtual platforms.
- Ability to learn new technology tools such as Achēv’s parallel data management system.
- Ability to travel for internal and external stakeholder meetings and conferences.
- Willing to work evenings and weekends as dictated by program needs.
- Access to reliable transportation, as the incumbent may be expected to deliver required supplies to project participants.
- Provision of a Criminal Reference Check if required for specific funder/program demands
